Documentation
Documents are shared in stages as the transaction progresses, subject to the terms of the sales contract.
- Quotation stage: a quotation with pricing, proposed trade terms, and estimated lead time, together with the product specifications.
- Order stage: a proforma invoice and sales contract confirming the agreed product, quantity, price, trade terms, and payment terms.
- Shipment stage: the shipment documents applicable to the agreed transaction — typically a commercial invoice, packing list, bill of lading, and certificate of origin, plus any certificates the product or destination requires.
Where a buyer requires it, the buyer may submit a Letter of Intent (LOI) before a quotation or contract is prepared.
Trade Terms
Trade terms are agreed per order and confirmed in the quotation and proforma invoice.
Each Incoterm is used together with a named place — for example "FOB Mundra" or "CIF Jebel Ali". The term and the named place together set out who arranges and pays for each stage of carriage, who arranges insurance, and the point at which risk passes from seller to buyer. Cost and risk do not always transfer at the same point, so we confirm both in writing for every order.
- FOB (Free On Board): the seller delivers the goods on board the vessel at the named port of shipment; the buyer arranges and pays for the main sea freight.
- CFR (Cost and Freight): the seller arranges and pays for freight to the named destination port, but risk passes to the buyer once the goods are on board at the port of shipment.
- CIF (Cost, Insurance and Freight): as CFR, with the seller also arranging minimum cargo insurance for the voyage.
Need a different term or delivery point? Mention it in your inquiry and we will confirm whether it can be quoted.
Quality & Documentation
Product specifications — such as GSM and packing for paper, or variety, grade, and packaging for rice and spices — are confirmed in the quotation and written into the sales contract.
Independent third-party inspection can be arranged, subject to availability and agreed terms. Where inspection is included, the scope, inspection agency, and timing are agreed in the contract.
Phytosanitary, fumigation, and other certificates depend on the product, origin, destination, and applicable import requirements. Let us know your destination market early so the required documents can be confirmed in the quotation.
